WF02 is the single active follow-up workflow. Phase 1 is the AI's autonomous engagement window — two soft SMS nudges fired only when the patient has not replied. No chase, no pressure. Exit checks on every step prevent duplicate contact with leads who've already booked or disqualified.
New patients only. Returning patients skip Phase 1 entirely — AI is already active from WF01 and reception takes the lead.
Phase 1 steps
Step 1.1 · Wait 4 hours
- From workflow enrolment (WF01 complete).
Step 1.2 · If / Else — Has Patient Replied?
- Replied → skip to Phase 2 (call disposition router).
- No reply → continue to Step 1.3.
Step 1.3 · AI Follow-up #1 (SMS)
- Send SMS via Conversation AI. Body: "Hi {{contact.first_name}}, just following up from {{custom_values.sys_brand_name}}. No rush at all. When you have a moment, let us know what you're hoping to achieve and we'll take it from there."
- Does not fire if reception has tagged the opportunity as active/in-progress.
Step 1.4 · Wait to Day 1 +4h (~28 hours after form submission)
Step 1.5 · If / Else — Has Patient Replied?
- Replied → skip to Phase 2.
- No reply → continue to Step 1.6.
Step 1.6 · AI Follow-up #2 (Final Nudge)
- Send SMS via Conversation AI. Body: "Hi {{contact.first_name}}, {{custom_values.sys_brand_name}} here. Still happy to help whenever you're ready. Just drop us a line about what you're looking for and we'll get things moving."
- After this step, if patient still hasn't replied, AI applies silent status. No further AI messages are sent. Day 4 safety-net SMS (Phase 4) may still fire as a re-engagement touch.
The AI's standing rule
Two nudges, then stop. The Day 1 +4h nudge is the last autonomous outbound from the AI. From Day 2 onwards, the AI listens but never initiates — reception is in control and emails/SMS come from WF02 Phases 3–5 on a fixed cadence, not the AI.
Why gentle, not chasing
Two nudges in 28 hours, each phrased to open the conversation rather than push a booking, then quiet. It's the difference between a patient who feels looked after and one who feels pursued. Speed-to-lead is about being present, not persistent, and every touch in Phase 1 reflects that.
